Step responses are custom answers that can be attached to Forms. For example, if you want users to answer a question using 'Good', 'Fair', or 'Poor', you can create a step response. There are three types of step responses: numeric value, text value, and list. Below is an example of each one.

Step by Step Instructions

To add a numeric step response, start by logging into the web app:

  1. Click Forms.
  2. Click Step Responses.
  3. Click the green plus sign.

Let’s say you need to know the temperature of a room:

  1. Enter a Step Name. The name should be specific, so you know what you are selecting when you are building your forms.
  2. Select a Response Type (numeric).
  3. Select a Pass/Fail Type. (None means this response does not result in a pass or fail, you simply need to know the temperature of the room. Pass/Fail means specific temperatures would pass, and others would fail. Range means a specific range of temperatures would pass. All others would fail.)
  4. Select a Control Type. (Default is a text box the inspector can type the temperature in. Slider is a numbered bar, and the inspector slides to the number that applies.)
  5. Enter Start and End Values. If the inspector chooses a number between these values, the response will pass.
  6. Enter the Min and Max Values. This specifies what numbers the inspector is allowed to enter or choose from.
  7. Click Publish.

To add a text value step response, change the Response Type. Let’s say you need to know the color of a room:

  1. Enter a Step Name.
  2. Select a Response Type (text value).
  3. Select a Pass/Fail Type. (None means this response does not result in a pass or fail, you simply need to know the color of the room. Pass/Fail means specific colors would pass, and all other entries would fail. For example, if you had a Pass Values as ‘RED,BROWN,GREEN’ and the user typed BLUE, then this would be a fail, but if they typed BROWN it would Pass.)
  4. Enter the Pass Values. (e.g. RED,BROWN,GREEN)
  5. Click Publish.

To add a list step response, change the Response Type. Let’s say you need to know the condition of a piece of equipment:

  1. Enter a Step Name.
  2. Select a Response Type (list).
  3. Select the Control Type. (Buttons will show all available answers immediately, and the inspectors chooses the answer that applies. Drop Down will force the inspector to open a drop-down menu to see the available answers.)

Now, add the list of answers:

  1. Click List.
  2. Click the green plus sign to start adding answers.
  3. Enter the Item Text. This is the answer the inspector will see.
  4. Select a Pass/Fail type.
  5. Optional: Choose a Color to match the answer. The color can help identify which answers are 'better'      than others.
  6. Optional: Enter a Weight. is optional as well. (e.g. Equipment in Good condition may get 2 points, Fair condition may get 1 point, and Bad condition may get 0 points.)
  7. Optional: Require a Comment if this answer is selected.
  8. Optional: Require a Photo is this answer is selected.
  9. Repeat steps 2-8 until the list is complete, then click Publish.

Now, you can attach the step response(s) to your Forms:

  1. Click Forms.
  2. Select Forms.
  3. Click New Form, or click an existing form.

When selecting responses to the form questions, click User Defined Steps. This will show your published step responses.
